Hotel accommodation can be reserved in Athens through our intermediary who have secured preferred rates for participants. All rates quoted on the hotel booking form are in EUR and are per room and per night, breakfast, 24% VAT are included.  The hotel category should be indicated on the hotel booking form. Please also indicate which other category we should book in case the chosen one is fully booked.

Booking confirmation

All hotel reservations will be confirmed to you in writing with the name of the hotel, the type of accommodation booked, the arrival and departure dates, the rate, and the deposit required. This will be accompanied by an invoice and request for payment.

Group booking

Group hotel accommodation can be reserved in Athens through our intermediary. Participating hotels including their respective rates can be found on the official accommodation page of the Congress website. All rates quoted are in EUR and are per room and per night, breakfast, 24% VAT are included. The hotel name including room category should be indicated on the group booking form.

For all group bookings (10 rooms or more), 50% deposit to be paid on receipt of first invoice, the outstanding 50% deposit to be settled thirty (30) days prior to the start of the Conference.

Payments

Full payment is required to confirm your reservation. Payment may be processed either by electronic bank transfer or by Master, Visa, American Express or Diners Club credit card. Full details appear on the booking form.

All incidentals charged to room account need to be settled prior to departure from hotel.

For all group bookings (10 rooms or more), 50% deposit to be paid on receipt of first invoice, the outstanding 50% deposit to be settled thirty (30) days prior to the start of the event.

Cancellations

Cancellations must be submitted in writing. You may cancel your reservation up to 1st January 2026 with a full refund of your deposit paid less an administration fee of EUR 50.

Reservations cancelled after 1st January 2026 will attract the following cancellation penalties:

1. 60 – 31 Days – 50% Cancellation fees apply
2. 30 – 0 Days – 100% Cancellation fees apply

An amendment fee of EUR 50.00 applies to all changes made to confirmed reservations after 1st March 2026.

Should you reduce the length of your stay upon arrival at the hotel, the hotel will charge cancellation fees for the nights that you will no longer be using.
